Find a Replacement/Swap (Assignment Self-Serve)

Note: Assignment Self-Serve Management features are only available if enabed by your administrator.

If you have confirmed an appointment and your situation has changed, you can use the 'Replacement' feature located in My Appointments.

Please note:
  1. This feature cannot be used prior to an appointment being confirmed.
  2. Your administrator has the ability to configure the Replacement feature, so if this is not visible please communicate with them.
  3. Your administrator sets the time limitation on the feature's use prior to the appointment start time. By default it is 48 hours before the start of the game.
  4. There are additional rules that can be configured by your organisation (eg: same level/grade/qualification or higher etc) that may influence availability of replacements.
  5. The receiving person needs to accept the replacement before it is actioned. If there is no accepting party within 48 hours, the request will be auto-declined and your appointment will stand. You will need to contact your administrator to make alternate arrangements.
  6. When a Replacement request has been accepted, a custom unavailability entry will be automatically entered against the organisation and day, preventing further appointment. 

Using Self-Self Appointment management
  1. Head to My Appointments and locate the game
  2. Click the 'Replacement' icon in the Actions column 
  3. Select your method of Replacement in the dropdown (note: available options that display is dependant on your organisation's configuration). Only one Replacement type can be selected.
    1. Replace (another official will be replace you)
    2. Swap (you will swap appointments with another official)
    3. Withdrawl (you will be formally removed from the appointment)

Activating a Replace/Swap
  1. Once Replace or Swap has been selected as the method, a list of the officials potentially available will be displayed. The list will contain officials that are available and meet the existing criteria as set by your organisation.
  2. Select the officials you wish to offer to replace/swap with.
  3. Enter any comments for the receiver(s) of your replace/swap invitation.
  4. Click 'Submit'. The selected officials will receive a notification of your request for replace/swap and must confirm this for the change to the actioned.
